Upon entry screening process:
All members must use sanitizer as soon as they enter the space
We will have health screening questions about symptoms and exposure prior to entry
Face Masks: Must be worn inside the building. If a member is unable to wear a mask, they will be encouraged to stay home or we can offer socialization time at our outdoor break area.
Temp readings: Members will have their temperature taken at Clubhouse with a touchless thermometer. If a member has an elevated temperature of 100.4 or higher they will not be able to enter the space.
We will have signage that reinforces hand washing frequently and gentle reminders throughout the day
We will follow capacity guidelines to ensure safe physical distancing in the building
We will have clear, bold, signage posted about how many people can be in each room at a time
Clerical-4 Kitchen-3 Sanitation-3 Garden-4 (will be cancelled if inclement weather)
Clerical-5, Kitchen- 3, Café-2, Sanitation-3, Reception-2
The Clubhouse space will be reorganized so that chairs and work stations are at least 6 feet from each other and clearly marked.
Sign up process:
Members will sign up for shifts for the week. This includes signing up for the morning shift or afternoon shift and specifying which tasks the member would like to volunteer for that day. This allows us to plan for how many members will be working in each area of the Clubhouse.
Upon sign up- the health screening questions will be asked over the phone about any signs or symptoms of illness and any exposure.
Break the day into shifts:
Phase One of reopen for both Clubs would include only one shift for a period of time. This will be 9am-1:30pm for Traverse House.
Phase Two for both Clubs will be two shifts that members could sign up for.
Traverse House morning shift 8am-12:30pm
Traverse House afternoon shift 12:30pm-5pm
Club Cadillac morning shift 8a-11:30a
Club Cadillac afternoon shift 12:30p-4p
Cleanliness and Sanitation:
We will assign a specific janitorial crew to complete needed tasks.
Every 2 hours we will have a full sanitation of all surfaces and touched areas (light switches, door handles, counter tops, tables, phones, keyboard, mouse, computer areas, etc)
We will establish a pen sanitation station to clean after each use.
We will clean bathrooms after each use, and phones after each use.
Dining- Traverse House will provide a staggered lunch, about 25 mins each. Club Cadillac will offer “to-go” style lunches and not full lunch service.
Remove all buffet style service or side salad bar
Use disposable napkins instead of cloth
Use disposable silverware
Salt and pepper shakers will be sanitized or disposable
Condiments will be served on the side rather than self-service options
Beverages will be poured rather than set on tables for members to pour themselves
Dining Room- must wear gloves at all times with set up, service, and tear down
Food Prep- maximum 3 people in kitchen at a time
Members who sign up for food prep in the kitchen will only work in the kitchen rather than jumping into other tasks in the different units
Members signed up for the culinary shift will be the only members allowed to enter the kitchen area
Using Picnics or outdoor space: This will be a good option to create space between members eating. Club Cadillac-Members can choose to dine inside (1 person to a table) or outside at the picnic tables.
Café- must wear gloves at all times while serving food, ideally a second member only handles money collection.
We will spread out in the clerical room and overflow in reception area, Club Cadillac will use dining room area. The culinary unit will meet separately at Traverse House in the café.
Placement of chairs- 6 feet apart Clearly labeled areas of where members can work using tape to mark. We will use arrows on floor to have walking paths
Transportation in Van- One staff one member sitting in the very back with at least one window open/cracked for air flow. Masks must be worn during transportation. Transportation must be scheduled in advance due to low staffing and the need for coordination.
We will provide home visits to members at home
We will not enter the house, rather using camp chairs to set up social distancing outside for visitation
We will ask health screening questions prior to scheduling a home visit
There will be work set aside that can be done at home (mailings, newsletter, outreach calls, birthday cards, etc)
We will continue to offer a unit meeting conference call over the phone for homebound members to join
We will continue to offer meal delivery to members at home for the cost of lunch
We will continue to offer virtual social recreation opportunities to members from home
We will offer wellness walks outside in small groups
We will mark the outside gazebo where members can smoke rather than inside the gazebo
There will be a maximum number set of people smoking during one time
Club Cadillac will design a waiting area/break area for members to use outside when they need near garden/picnic table area. They will set capacity limits and social distance in this outdoor space.
Traverse House will request an outdoor area to be a designated break area/waiting area for members. They will set capacity limits and social distance in this outdoor space.
Response Plan for Clubhouses
How does the Clubhouse respond when a member or staff was in the Clubhouse and now they are experiencing symptoms of COVID-19?
The person who is sick will notify the Clubhouse about symptoms and plan of action. We will encourage the sick person to connect with their doctor to report symptoms and go get tested for COVID if the doctor recommends. If the doctor only recommends isolation with no test- please inform the Clubhouse.
When the Clubhouse receives information about a member/staff who was in the Clubhouse and is experiencing symptoms- we will notify all members/staff who were in contact with the sick person. We will continue to sanitize the space and reach out for a thorough spray down of all surfaces. Clubhouse operations will continue as normal.
What happens when a member/staff now reports a positive COVID-19 test after being in the Clubhouse space?
The sick person: Will connect with the Clubhouse to inform about the positive test. They will also connect with the health department and follow the health departments guidance on how long they need to isolate. The member/staff would not be able to return to the Clubhouse until they are all clear from the health department.
The Clubhouse space: Will close immediately for the duration of 3 days. After one day closed, the space will be sanitized with the cleaning spray. The Clubhouse will be able to reopen on day 4.
The members and staff who were present in the space when the sick person was there: All members and staff will be notified of the positive COVID-19 test. Everyone will be encouraged to reach out to their doctor about getting tested, even if no symptoms are present. Everyone present will be unable to return to the Clubhouse until they have completed a 14 day quarantine, starting from the last day they were in contact with the infected member/staff. If a member/staff wishes to return to the Clubhouse sooner than the 14 day quarantine, they must report a negative COVID-19 test.
